Knowing where the papers are
before you need them.
Cairnstone helps families locate, record and organise household documents in a structured register — so relatives are not searching later, and qualified professionals can begin their work without delay.
What We Offer
Three ways Cairnstone can help your family
Document Location Register
A structured session recording where a household's important papers are physically kept — identity records, property papers, insurance documents, keys and digital recovery notes. The sealed register stays with the family, listing item and location only.
- Covers all common document categories
- No content copied or retained by Cairnstone
- Output held by the family alone
Family Records Education Workshop
A two-hour workshop for families, mosque and temple committees and community associations. Covers how estate documentation is commonly sequenced in Malaysia, which offices are typically involved, and how families keep records over time. Booklets in English and Malay included.
- Groups up to fifty participants
- Booklets in English and Bahasa Melayu
- Blank register templates provided
Multi-Property Records Compilation
For families whose records span several properties, states or generations. Includes on-site collection across up to four locations, archival scanning, a unified index, physical folder sets for each branch, and two review meetings. Typically ten to sixteen weeks.
- Up to four on-site collection visits
- Unified index reconciling duplicates
- Written note of gaps observed
Why Families Come to Us
Quiet work done carefully
Nothing leaves the household
Documents are never copied or retained by Cairnstone. The register lists location only and remains entirely with the family.
A path, not a maze
Each step of a records session is explained plainly before it begins. Families know what is being recorded, where it will be kept, and what happens next.
No opinions on regulated matters
Cairnstone records and organises. Interpretation, advice on entitlements and legal decisions are left entirely to the family's own qualified professionals.
Suited to Malaysian households
Our sessions recognise the range of documents common to families in Malaysia — including land titles, Amanah Saham holdings, EPF records and mosque or community memberships.
Unhurried pace
Sessions are planned around the family's availability. There is no pressure to complete everything in a single visit, and older household members set the pace.
Plain language throughout
All materials are written without administrative jargon where possible, and terms that must appear are explained at the foot of each section.
Ready When You Are
Would it help to have a clear record
of where everything is?
Reach out at a time that suits you. There is no obligation in making an enquiry, and initial questions are always welcome by phone or email.
Common Questions
Questions families usually ask
What exactly does Cairnstone record during a session?
We note where documents are physically located within the household — not their content. For example, a property title would be recorded as being in a specific drawer or box, with its title noted. We do not copy, photograph or retain any document.
How long does a Document Location Register session take?
Most households complete the session in two to four hours. Larger households, or those with papers spread across several rooms, may prefer to work across two shorter visits. We plan around what suits the family.
Can Cairnstone advise on what to do with the documents?
No. Cairnstone records and organises only. Any decisions about entitlements, ownership, or legal next steps should be discussed with a solicitor, registered estate planner, or other qualified professional. We can note which types of qualified professionals are commonly involved in Malaysian estate administration, in general terms.
Who is the workshop suitable for?
The Family Records Education Workshop is designed for families who want to understand how documentation processes in Malaysia are generally sequenced, as well as mosque and temple committees or community associations who wish to offer this information to their members. It is general education and does not address any individual family's situation.
What if documents are missing or we cannot locate them?
In the Multi-Property Records Compilation Programme, we produce a written note of gaps and inconsistencies observed. This note is factual — it records what was not found and where it might commonly be obtained — and is passed to the family to share with their chosen professionals.
How far does Cairnstone travel for on-site work?
We are based in Alor Setar and regularly travel within Kedah. For the Multi-Property Compilation Programme, we can arrange visits across northern Peninsular Malaysia. Please contact us to discuss specific locations, as travel arrangements are planned individually for each programme.
