Our Methodology

How every session is conducted

Every Cairnstone service begins with an agreed scope — a written confirmation of which document categories will be covered, what the output will look like, and how long the work is expected to take. Nothing about the process should come as a surprise to the family.

During a session, we move through document categories in a consistent order, noting location for each item present and recording its absence where it is not found. We do not comment on the contents of any document, do not advise on what should be done with them, and do not retain any copy.

At the close of every engagement, the output is handed to the family in person and a sign-off is completed. From that point, Cairnstone holds nothing relating to the household's documents.

Initial enquiry and scope agreement

A telephone or email conversation to understand the family's situation and confirm which service fits.

Pre-session preparation

A checklist is sent to the household to help them locate materials before the session begins, reducing time spent searching on the day.

Session or site visit

The recording session proceeds according to the agreed scope, at a pace the household sets.

Output delivery and sign-off

The printed register or folder set is handed over in person. A sign-off confirms the family has received the complete output.

Service 01

Document Location Register

A structured session recording where a household's important papers are physically kept. Covers identity and civil records, property and vehicle papers, insurance and membership documents, keys and safe deposit references, and digital account recovery notes stored by the household itself. The output is a sealed register held by the family, listing item and location only — with no content copied and no view taken on anything recorded.

Family Records Education Workshop

A workshop for families, mosque and temple committees and community associations, covering in general terms how estate documentation processes are usually sequenced in Malaysia — which offices are commonly involved, what a standard document request contains, and how families typically keep records over time. Runs two hours for groups up to fifty, with booklets in English and Malay and blank register templates. General education describing common practice only, tailored to no individual situation.

Service 03

Multi-Property Records Compilation Programme

A programme for families whose records span several properties, states or generations. Includes on-site collection across up to four locations, archival scanning, a unified index reconciling duplicate and conflicting copies, a written note of gaps and inconsistencies observed, physical folder sets for each branch of the family, and two review meetings. Typically runs ten to sixteen weeks. Findings are recorded factually and neutrally, with interpretation left entirely to the family's own qualified professional.

Privacy & data handling

Contact details and session notes are held only as long as the work requires, and deleted after sign-off. No household document data is retained by Cairnstone at any time.

Written scope before every session

The scope, output format and expected duration of every engagement are confirmed in writing before the first session begins.

No regulated advice at any stage

Cairnstone records and catalogues only. No opinion on legal, financial or administrative matters is given at any stage of any service.

Signed handover on completion

Every output is delivered in person and a sign-off completed. The family receives the complete output before the engagement closes.

Bilingual at every stage

All sessions, printed materials and written registers are available in both English and Bahasa Melayu without additional charge.

Certified practitioners only

All session leads hold current certification in records management practice and undergo continuing education annually.
